SME Business Claims Passport

SME Business Claims Passport terms of use Version 2026.10.1

Please read these terms before you open a passport for your business. By opening or using a passport you agree to them for yourself and for the business. If you do not agree, do not use the platform. Sections 7 to 10 protect our software and content and apply strictly to anyone using the platform for someone else or for competitive purposes.

1. Who we are

The SME Business Claims Passport (the "platform") is software provided by Wolf AI Labs Limited, a company registered in England and Wales, company number 16609169, registered office 20 Wenlock Road, London N1 7GU, ICO registration ZC177753 ("Wolf", "we", "us"). Contact: compliance@wolfailabs.com.

2. Who can use the platform

The platform is for UK businesses checking and pursuing their own claims: limited companies, LLPs, sole traders and partnerships. The person who opens the passport must be 18 or over and a director, designated member, partner or owner of the business, or a person the business has authorised to act for it. Each business may hold one passport. The details you give must be true, complete and about your own business.

You may not open or use a passport for another business. No claims firm, broker, accountant, consultant or other person may use a passport to make claims for a business or charge a business for anything done on the platform. An adviser may sit with you, but every claim must be the business's own and must be sent by the business. If anyone asks the business for a fee to use its passport, tell us at compliance@wolfailabs.com.

Where the business is a registered company we check its details against the Companies House register and look for you among its current officers. We look for signs that a passport is run by a third party, such as several passports on one network, the same document in more than one passport, or letters written for someone else. We may block those actions, review the account and suspend a passport while we do.

3. A free service

The platform is free. We charge the business no fee at any stage and take no share of any money it recovers. 100% of any recovery is the business's.

Because the service is free, we provide it as it is and as available. We may change, suspend or withdraw any feature, claim type, rule or the whole platform at any time, including to protect the platform or comply with the law. Where we withdraw the platform we will give reasonable notice where we can and let you download your data.

We may set and change limits on how the platform is used. When you open a passport you choose the business's pace: 12:12, one complaint a month and twelve a year, or 12:12 Plus, up to three complaints a calendar month, at least seven days apart. You can change the pace once every 30 days. Each complaint must pass an accuracy check before it can be recorded as sent. Preparing claims, records requests and ombudsman referrals are not limited.

4. What the platform is, and what it is not

The platform is software. It asks questions, reads the documents and statements you choose to upload, can read the Companies House register for the business, compares the answers with a library of published rules, and prepares letters for you to review, edit and send in the business's own name.

Wolf is not a claims management company, a law firm, a solicitor, an accountant, a debt adviser, an insolvency practitioner or an FCA authorised firm. We do not carry on regulated claims management activity, we do not act for the business, we do not contact any provider, ombudsman, court or creditor for it, and we hold no interest in the outcome of any claim. Wolf never gives advice. Nothing on the platform is legal, financial, tax, debt or insolvency advice.

4A. Asking a professional firm for help

If a claim stalls or becomes complex, the passport lets the business choose a solicitor or claims firm that holds a seat in its postcode area and send it the claim. Using this is optional. Firms pay Wolf for the build and upkeep of the infrastructure they use and the areas they cover. Wolf receives no fee for any business, transfer, claim or outcome, and no commission or share of any fee or compensation. Firms are shown in a random order. Wolf does not rank, recommend or select a firm, or take part in the engagement.

When you give consent and click send, the passport sends the claim summary, the breaches found, the letters, the replies, the documents you ticked and your contact details to that firm's secure inbox. Nothing is sent without consent. You can withdraw consent at any time from the claim page, and the firm's access ends at that moment. It also ends if the firm declines or stops holding a seat in the area. What the firm has already downloaded is then held by the firm under its own legal duties. Any agreement is between the business and the firm only. Ask the firm for its fees in writing before agreeing to anything.

4B. Taking a complaint further

Once a complaint has been sent, the passport lets the business prepare its own referral to the ombudsman or scheme that covers it, such as the Financial Ombudsman Service, the Energy Ombudsman or an Ofcom approved telecoms scheme. Each scheme only takes businesses below its own size limits. The platform shows the limits the scheme publishes and the business's size as you entered it, but whether the business is eligible is for the scheme to decide. Where no scheme covers the claim, or the business is above the limits, the platform prepares a letter before claim instead.

You complete and check every referral and letter. Any draft is a starting point only; the business is its author. You send it yourself. Wolf does not send anything to any scheme or court and has no contact with it about the business's complaint. Referring a complaint does not count towards the business's 12:12 allowance.

4C. Moving to a new provider

Where it is switched on, a claim may show providers the business can move to. Using this is optional and has no effect on the claim. Links marked Affiliate link may pay Wolf if the business buys through them. Lending journeys are run by FCA authorised firms under their own permission. Providers are shown by fairness score, highest first, never by what they pay. The provider complained about, and every brand in its group, is never shown.

4D. Claim certificates

Each claim is tested against the Business Passport Certificate Standard, BPCS/2026.01: six gates (entity, authority, instruction, declaration integrity, claim provenance and duplication), of which the first three decide the verdict. A claim that meets them receives a dated certificate, Certified or Qualified, with its evidence completeness score and its identified value. A certificate certifies the record. It gives no view on whether a claim will succeed, is not advice, and the identified value is a Wolf Assessment, not a promise of any payment. Anyone given a certificate reference can check it on this site with the holder's surname; the check shows the verdict, the gates, the score and the date only.

4E. Debt and insolvency

The Debt and insolvency tab lets the business record its own position and, if it chooses, send it to a licensed insolvency practitioner firm that holds a seat in its area. Wolf does not give advice and does not say what the business should do. Free independent help is shown on the tab. Nothing is sent without separate consent, which can be withdrawn at any time. Practitioner firms pay Wolf only for the infrastructure and the areas they cover, never for a business, a request or an appointment. For sole traders and partnerships the tab shows information and free advice services, and introductions open only where Wolf has switched them on.

5. Assessments, values and letters

  • Every assessment, breach, strength rating and identified value is produced automatically by software from the answers and documents given. It is an estimate, marked Wolf Assessment, and it may be incomplete or wrong.
  • We do not promise that any claim will succeed, that any provider will pay, or that any sum will be recovered.
  • The rule library is general information about rules published by regulators, courts and Parliament. It may not be complete or current for the business's circumstances.
  • Before sending anything you must read it in full and make sure every statement is true. The business is the author of every letter it sends.

6. Your responsibilities, including time limits

  • Time limits apply to complaints, ombudsman referrals and court claims. The platform shows dates as a guide only. Meeting every deadline is the business's responsibility.
  • You must not use the platform to make a claim you know to be false, exaggerated or already settled, or to send anything abusive, defamatory or unlawful.
  • Keep your password private and tell us at once if you think someone else has used the account.
  • Keep your own copies of anything the business sends and receives.

7. Our content, software and trade marks

  • The platform and everything in it, including its software, code, design, question sets, rule library, assessment methods, letter structures and wording, data, figures and models, is owned by or licensed to Wolf AI Labs Limited and protected by copyright, database right and the law of confidence.
  • CLAIM PASSPORT is a registered UK trade mark, number UK00004346035, used under licence.
  • We give the business a non exclusive, non transferable, revocable licence to use the platform only for its own claims. It may share letters it has sent with the provider, a scheme, a court or its own advisers.
  • Content supplied through the passport carries hidden identifiers unique to the account, so copied content can be traced. You must not remove or alter them.

8. Acceptable use

You must not, and must not help or allow anyone else to:

  • use the platform, or anything obtained from it, on behalf of or for the benefit of another business, a claims management company, a law firm, a broker, a lead generator, a data broker, a funder or any other third party;
  • use the platform to research, design, build, train, test, benchmark or improve any product, service, model or dataset that competes with or copies any part of it;
  • copy, scrape, harvest, export or republish the question sets, rule library, letter wording, design or any other content, except the business's own letters as allowed in section 7;
  • use any information obtained from the platform to train or prompt any artificial intelligence system;
  • reverse engineer, probe or systematically vary answers to find out how assessments work;
  • open more than one passport for a business, use a false identity, share access, or use automated tools, scripts or bots;
  • attempt to get round any limit, security measure or access control.

9. Third party and competitor use

This section applies to any person, firm or company that uses the platform, directly or through an employee, contractor, agent or associated person, in breach of section 2 or section 8 (a "commercial user"). It does not apply to a business using its own passport for its own claims.

  • A commercial user has no licence to use the platform. All such use is unauthorised.
  • A commercial user must pay Wolf a commercial access licence fee of £25,000 for each passport used, plus £5,000 for each claim type whose question set was accessed, without prejudice to Wolf's right to claim damages, an account of profits, an injunction and its costs on an indemnity basis.
  • A commercial user indemnifies Wolf against all losses, damages, costs and expenses arising from its use of the platform or any content obtained from it.
  • Wolf may, without notice, suspend or close any passport it reasonably believes is used by or for a commercial user, and keep records of that use as evidence.

10. Monitoring, suspension and closure

  • We record account activity and may monitor use of the platform to protect it, detect misuse, enforce these terms and meet our legal duties, as explained in our privacy notice.
  • We may suspend or close a passport at once if we reasonably believe these terms have been broken, the details given are false, or use presents a legal, security or reputational risk.
  • You may close the passport at any time from the Account tab. Sections 7 to 9, 11 and 13 continue after closure.

11. Our liability

  • Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
  • Because the platform is free and supplied as information and software the business controls, we are not responsible for: the outcome of any claim; any decision the business makes, or any letter it sends, based on the platform; a claim becoming time barred; the acts or omissions of any provider, scheme, court, firm or practitioner; or loss of profit, business, revenue or opportunity.
  • If we are liable, our total liability for all claims arising from use of the platform in any 12 month period is limited to £100.

12. Information

We use information as set out in our privacy notice. Documents are encrypted when stored. Permissions can be withdrawn at any time on the Permissions tab.

13. Complaints and disputes

  • If you are unhappy with the platform, email compliance@wolfailabs.com with the passport reference. We aim to reply within 14 days.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, save that a business based in Scotland or Northern Ireland may bring proceedings in the courts of its home nation.

14. General

  • We may update these terms. We will tell you by email or in the account before a change that affects the business takes effect. If you do not accept the change you may close the passport.
  • If any part of these terms is unenforceable, the rest stays in force.
  • The business may not transfer its passport or its rights under these terms. We may transfer ours to another organisation, and the business's rights will not be reduced.
